Job Description

 

Monitors, prepares, and calculates payroll for exempt and non-exempt employees, including necessary reporting, journal entries, and related reconciliation.  Assists with the administration of the 403(b) plan and related 5500 reports.  Supports general accounting functions such as accounts payable, journal entries, bank reconciliation, account analyses, and year-end audit preparation.

 

Primary Responsibilities

 

-                      Prepares bi-weekly payroll for exempt and non-exempt employees.  Enters/interfaces timesheet management system (ezLabor) for HQ employee time worked and verifies entries to send to ADP; reviews and enters employee time worked into ADP.  Maintains employee records including, data on hires, terminations, benefits, and wage adjustments.   Creates payroll and management reports utilizing reporting software tool from ADP payroll.

-                      Maintains employee profile information in PeopleSoft Expense Module (accounting software system).

-                      Investigates payroll tax issues, ensuring compliance with federal and state regulations.  Maintains an effective record system and audits quarterly payroll tax schedules from ADP.

-                      Prepares and reconciles payroll records from payroll system (ADP) sub-ledger and related General Ledger accounts for HQ employees.  Ensures that checks have cleared through bank accounts.

-                      Coordinates with GL Accountants and AR Coordinator in journal entry preparation and invoicing for payroll.

-                      Performs general accounting functions to include, but not limited to, accounts payable, journal entries, bank reconciliations, account analyses, and year-end audit preparation.

-                      Audits and processes the annual W-2 wage reports.

-                      Assists Supervisor, Payroll with worker’s compensation audit(s).

-                      Assists Supervisor, Payroll with annual financial and 403(b) audit.

-                      Assists Supervisor, Payroll with various payroll-related projects.

-                      Assists Supervisor, Payroll with Plan Administrator reports for 403(b) contributions, loan payments, matching reconciliation, and the annual 5500.

-                      Reports progress and status to Supervisor, Payroll.

-                      Performs other duties as assigned.

 

 

Position Qualifications

 

 

The minimum requirements for this job include a high school diploma. Qualified candidates should have 3 to 5 years direct experience in payroll and/or related accounting. Must have 1-3 years of multi-state payroll processing experience.  Must have general accounting knowledge of inventory, accounts payable, and fixed assets. Requires good verbal communications skills, and experience with MS Office products.    Requires good verbal communications skills, and experience with MS Office products.

 

Certified Payroll Professional (CPP) preferred.  Previous experience with ADP payroll is preferred.  Other skills that would be valuable in this position include knowledge of ADP on-line processing, ezLabor Time Management System, and PeopleSoft.

 

Specialized knowledge of payroll processing and related laws and regulations.  General accounting knowledge of accounts payable and general ledger.
